How to Correct a Pay Stub Without Losing the Record

Last reviewed: October 2026

A good correction explains what changed, identifies the record it replaces, and keeps later totals aligned with the genuine payment history.

Find the source of the mistake

Start with the supporting records rather than editing whichever number looks wrong. Check the work dates, hours, agreed rate, gross wages, deductions, net payment and employee details. A typo in a name is different from a missing wage payment. Work out whether the problem is in the document, the underlying calculation or what actually happened when the employee was paid.

Keep the original record while you investigate. It can help explain what the employee received and why a correction became necessary. Do not remove the only evidence of a discrepancy before it is understood. If the employee raised the issue, compare the same work period and payment so both sides are discussing the same record.

Separate a document correction from a payment correction

Changing a PDF does not transfer money, return a deduction or change a tax filing. If the employee was paid the wrong amount, handle that issue through the appropriate payment and recordkeeping process. Then make the pay record reflect what actually happened. Do not show a payment as completed merely because you intend to make it later.

Prepare a clear replacement record

Use the correct employer and employee details, the genuine work period and the proper payment date. Correct the affected earnings or deduction fields without inventing unrelated adjustments. Explain which earlier record the replacement supersedes, and keep that explanation with your files. A recognizable correction trail is more useful than a collection of nearly identical PDFs with unexplained file names.

Give the employee a clear copy and explain the change in plain language. Make sure your retained copy matches. If a correction relates to an amount genuinely owed, preserve the payment evidence alongside the replacement record. Do not count the replacement as another wage payment simply because a fresh document has been created.

Keep YTD totals consistent

A correction can affect the year-to-date totals on later records. Reconcile gross wages, each deduction category and net pay against the actual payment history. Do not fix only the most recent total while leaving the underlying records contradictory. Equally, a corrected spelling does not itself create a new wage amount or justify changing otherwise accurate financial totals.

Remember that StubzPro's YTD calculation uses the current period and its calendar-based position, not an imported history of actual payments. If hours, rates or the start of employment make that result inaccurate, seek help and check your records carefully. Do not change a correct current wage figure to force the displayed YTD to match a desired number.

If you discover a mistake in a purchased document, email support@stubzpro.com within 7 days of purchase with your order receipt and the correction needed. StubzPro will help correct and regenerate the purchased document at no additional charge. This covers corrections to that record, not additional pay periods or invented wages. See the Refund Policy for the separate refund terms.

Check whether another record needs attention

A pay stub is not a tax return or a Form W-2. If the underlying error also affected tax reporting, ask a tax professional about the proper process. For household employment tax guidance, read IRS Publication 926. Do not assume that downloading a corrected stub automatically updates an employer filing or a government record.

Use tools to review, not rewrite history

The nanny pay stub template helps you locate the relevant fields, and the nanny tax calculator can support an estimate when checking assumptions. Compare either tool with the facts. Keep employment tax records for at least 4 years, including enough correction information to distinguish a final record from the version it replaced.

Frequently asked questions

Are corrections free after purchase?

Contact support@stubzpro.com within 7 days of purchase with your receipt and the correction needed. Corrections to the purchased record are free; additional pay periods are not corrections.

Does a new PDF correct a tax filing?

No. A document correction does not update a tax filing or move money. Ask a tax professional if the original error affected reporting or payment obligations.

Should a replacement stub increase the YTD total?

Not just because it is a new file. Reconcile the genuine payment history and avoid counting the same payment again when replacing an incorrect record.

Document wages you actually paid.
